Rebuild the missing context
Assume the recipient will not remember every date, promise, or earlier conversation. For a message about how to give a client a revised project deadline, use this factual base: identify the brief, deliverable, rights, fee, revision history, and contract term that applies.
Say what needs to happen next
State the decision, information, or practical action you need and include a real deadline only when one exists. State what you can deliver next, what approval or payment is required, and when the offer expires. Make the immediate next step clear enough that the recipient can answer without reconstructing the entire history.
Avoid making urgency into pressure
Do not release rights or final files beyond the agreement, and do not shame a client publicly. Use platform support, legal advice, or a formal takedown process for fraud, infringement, threats, or identity misuse. Do not make the other person responsible for reducing the discomfort that prompted you to write.
