Write from facts rather than momentum
Pause long enough to remove accusations, assumptions, and details that belong to someone else. For a message about how to request a workplace accommodation, use this factual base: state the role, policy, decision, dates, and process that apply without disclosing another employee's information.
Offer a proportionate next step
Match the size of the request to the relationship and to what the recipient can reasonably decide now. Explain the available next step, support, review route, or deadline and name the correct contact. Make the immediate next step clear enough that the recipient can answer without reconstructing the entire history.
Protect privacy on both sides
Do not imply a guaranteed outcome, retaliate, or use informal pressure where a formal process is required. Use HR, a representative, legal advice, or emergency support for discrimination, harassment, threats, or immediate danger. Use the most private legitimate channel available and do not share the exchange to recruit support or pressure.
