Keep the message proportionate
Use the shortest explanation that still tells the truth about the event, impact, and current position. For a message about how to ask your employer for a raise, use this factual base: state the role, policy, decision, dates, and process that apply without disclosing another employee's information.
Give timing that can be trusted
Give a realistic date, a simple option, or a direct yes-or-no question and avoid vague promises such as soon. Explain the available next step, support, review route, or deadline and name the correct contact. Make the immediate next step clear enough that the recipient can answer without reconstructing the entire history.
Close the loop without drama
Do not imply a guaranteed outcome, retaliate, or use informal pressure where a formal process is required. Use HR, a representative, legal advice, or emergency support for discrimination, harassment, threats, or immediate danger. A calm ending is more credible than a warning, a grand gesture, or language designed to provoke a response.
